The LimoAnywhere Dispatch Scrutiny Tool is a quality-control assistant built specifically for limo and black-car dispatch operations running on LimoAnywhere. It has two independent sections that work together:
The four tabs above the trip list let you focus on one time window at a time.
| Tab | What it shows |
|---|---|
| 🔴 Today | All trips scheduled for today. These are the most urgent — a red dot appears on the tab when any need attention. |
| 📅 Tomorrow | Tomorrow's trips. Good to review the evening before to catch problems while there's still time to fix them. |
| 📆 Day After | The day after tomorrow. Useful for spotting scheduling gaps early. |
| 🗓 All Other | Any trip beyond the next two days — further-future bookings. |
| Column | What it shows |
|---|---|
| Conf # | The LimoAnywhere confirmation number. Unique ID for each reservation. Clicking it opens the full trip details. |
| Passenger | The lead passenger's name. A 🔁 icon means this is a recurring trip (same passenger, same route, multiple dates). |
| Date / Time | Scheduled pickup date and time as entered in LimoAnywhere. |
| Pickup → Dropoff | The origin and destination of the trip. Long addresses are truncated — hover or resolve to see the full address. |
| Driver | The assigned driver's name. Blank = no driver assigned (flagged as a critical issue). |
| Vehicle | The assigned vehicle. Blank = no vehicle assigned (flagged as a critical issue). |
| Service | The service type (e.g. To Airport, From Airport, Point to Point, Hourly). |
| Flight | Flight number if applicable. Required for all airport trips — missing flight on an airport job is flagged. |
| Issues | Colour-coded problem tags. See the Issues Reference below. |
| Actions | Buttons to Resolve, Snooze, or view Change History for each trip. |
Every detected problem appears as a colour-coded tag on the trip row. Here is what each colour and tag means:
On the 🔴 Today tab, any trip whose pickup time was more than 45 minutes ago and is still Pending shows a flashing red ⏰ OVERDUE badge on the Date/Time cell. This updates automatically every minute. An overdue trip means either the driver is running late, the trip was missed, or it was completed without being resolved in the tool. Check immediately and call the driver.
Every trip row has a thin coloured left border showing the service type at a glance — so you can scan the whole manifest by eye without reading the Service column each time.
When LimoAnywhere's Affiliate column (AJ) contains a non-blank value, the trip row gets a golden background tint and a 🔗 Affiliate: [name] badge under the passenger name. These trips use a third-party driver or company — you have less direct control. Pay extra attention to confirmation, communication, and on-time updates for affiliate trips.
Click any pill to filter the trip list to only show trips in that state.
| Filter | What it shows |
|---|---|
| All Issues | Every trip that has at least one unresolved issue, regardless of type. |
| 🔴 Critical | Only trips with red-level issues — no driver, no vehicle, no phone, no flight, no pickup time, driver/vehicle double-booked, or pax count exceeding vehicle capacity. Fix these first. |
| Resolved | Trips you have already marked as resolved. Kept for reference — does not affect actual LimoAnywhere data. |
| Snoozed | Trips you have temporarily hidden. They come back automatically when the snooze expires. |
| No Issues | Clean trips — no problems detected. Use this to confirm everything that's already good. |
| Button | What it does |
|---|---|
| ✅ Resolve | Marks the issue as fixed. The trip moves to the Resolved filter. This only marks it inside the tool — you still need to fix it in LimoAnywhere. |
| 💤 Snooze | Hides the trip for a set time (30 min, 2 hrs, 4 hrs, or until tomorrow). Useful for issues you're aware of and dealing with, but not ready to resolve yet. The trip reappears automatically. |
| 📝+ / 📝 (Notes) | Adds or edits a dispatcher note on the trip. Notes are shown in a slim row directly below the trip and saved in your browser. Use for things like "client called — running 10 min late" or "met at door 2". Notes persist across page reloads. |
| 📋 History | Shows a log of all changes made to this trip when multiple file versions were loaded. Only appears if the trip has been updated across uploads. |
| ↺ Refresh Now | Re-reads the last uploaded file from your browser session. Use this if you've made changes in LimoAnywhere and re-exported — it picks up the new data without a full page reload. |
| 🗑 Clear All Data | Wipes the manifest, inbox, and all saved data. Use at the start of a new shift. Cannot be undone. |
The search bar at the top searches across all fields simultaneously: passenger name, conf number, phone, pickup, dropoff, driver, vehicle, service type, and flight number.
Each message card in the inbox has a status badge telling you what action (if any) is needed.
| Badge | What it means & what to do |
|---|---|
| 🕐 Needs Review | Saved quickly with ⚡ Save to Inbox. The tool hasn't fully compared it against the manifest yet. Click 🔍 Review & Submit to open it and complete the check. |
| ⛔ Cancellation | The message contains cancellation language ("cancel", "no longer need", "please remove", etc.) and the trip is still active in the manifest. This is the most urgent possible status. Open LimoAnywhere and cancel the trip immediately. |
| 🔄 Change Request | The message contains change language ("reschedule", "new time", "update", "please change"). The trip may still have the old details. Verify the manifest was updated. |
| 🔶 Discrepancy | The message matched a trip in the manifest but one or more fields don't agree — different time, different pickup, different dropoff, or different flight. A comparison table shows what differs. Decide which version is correct. |
| ⚠️ Not in System | The message looks like a booking request but no matching trip was found in the manifest. Either the trip hasn't been entered in LimoAnywhere yet, or the details are too different to match. Create the trip if needed. |
| ✅ Confirmed | The message matched a trip in the manifest and all key details agree. No action needed. |
On any card that still needs action, a small age badge shows how long ago the message arrived.
Age badges only appear on statuses that need action. ✅ Confirmed cards do not show an age badge.
| Tab | Shows |
|---|---|
| All | Every message in the inbox, all statuses. |
| 🕐 Needs Review | Messages saved with ⚡ Save to Inbox that haven't been fully checked yet. |
| ⛔ Cancellations | Messages that contain cancellation intent. Check these first every time you open the tool. |
| 🔄 Changes | Messages that request a change to an existing trip. |
| ⚠️ Not in System | Requests with no matching manifest trip — possible unboooked reservations. |
| 🔶 Discrepancy | Matched trips where client details and manifest details disagree on one or more fields. |
| ✅ Confirmed | Clean matches — no action needed. Use this at shift end to confirm your coverage. |
| Button | What it does |
|---|---|
| 🔍 Review & Submit | Opens the full review form for a "Needs Review" card. Shows all detected fields, lets you correct any that were misread, then runs the full manifest match. Appears on unreviewed cards only. |
| ✏️ Edit | Opens the review form again for any already-saved card so you can correct the detected details and re-run the match. |
| ✅ Approve Anyway | On a Discrepancy card — marks the mismatch as intentional and moves the card to Confirmed. Use when you've verified that the client's version is what's actually in the manifest, or the difference is acceptable. |
| Conf# ↗ (jump link) | When a request matches a trip, the Conf# is a clickable link. Clicking it switches to the Manifest tab, searches for that trip, and highlights it in blue so you can inspect it immediately. |
| Ignore (per field) | In the comparison table inside a Discrepancy card — ignores just one mismatched field and keeps checking the others. Use when one field is wrong but the rest are fine. |
| 🗑 | Permanently deletes the message from the inbox. Use for spam, wrong-number messages, or confirmed-and-done entries you want to clean up. |
| 🔄 Re-check All | Re-runs the manifest match on every saved message. Use this after uploading a new manifest file mid-shift to update all the match results. |
When a message matches a trip but something doesn't agree, a comparison table appears inside the card:
| Column | Meaning |
|---|---|
| Field | Which detail is being compared (Passenger, Date, Time, Pickup, Dropoff, Flight). |
| Your Request | What the client's message said. |
| Actual Trip | What is currently in the manifest (LimoAnywhere). |
| Ignore button | Appears only on mismatched rows. Click it to accept the difference for that one field without approving everything. |
At the top of the inbox, a red alert banner automatically appears if any ⚠️ Not in System request has been waiting for more than 2 hours without being actioned. It shows how many requests are affected and how old the oldest one is. Click View Now → to jump directly to the Not in System filter. This prevents booking requests from falling through the cracks entirely.
You can upload more than one Excel export at a time — for example, if you run multiple company accounts in separate LimoAnywhere instances. All trips are merged into a single manifest. Each file's name and trip count appears as a chip below the upload area.
When a newly uploaded file contains a trip with the same Conf# as one already in the tool but with different details (e.g. the time was changed in LimoAnywhere and you re-exported), a full-screen conflict review opens:
| Option | What it does |
|---|---|
| Keep Old | Keeps the version already in the tool. Use this if the new file has a mistake. |
| Use New | Replaces the existing trip with the new version. The change is logged in that trip's History (📋 button). |
| Keep All Old | Dismisses the entire conflict queue and keeps all existing trips unchanged. |
| ✓ Done — Apply | Confirms all your decisions and updates the manifest. |
If any rows in the Excel file could not be read (usually because the date is in an unrecognised format), a yellow warning panel appears below the upload summary listing every skipped row and the reason. Check those rows in your Excel file and correct them if needed.
The reservation will hide until the chosen time, then automatically return to Pending.
